Step 1: Investigate & Conduct Comprehensive

Core Technology Partners offer an impartial audit via an “Imaging Health Check” to your organisation to help better understand its current output imaging environment and the associated outgoing costs. Part of this analysis includes mapping future requirements and looking to maximise the use of electronic document workflow management.

Although most organisations have an asset register our experience suggests they are not always accurate. Hence we suggest as part of the health check we start with the following process:

  • Data collection and device audit
    This process consist of both manual and electronic data collection and can involve site visits to each floor and use of
    floor plans to map the location, type and model of each device as well as the paper handling requirements.
  • Meter Read, or print volume collection
    We monitor the volume and characteristics of documents produced. We also note whether you have multifunction
    devices and if so the percentage of Scanning/faxing/copying and printing that is done on each device.
  • Workgroup Detail
    We note the department’s workgroup types, staff levels and specific output imaging requirements.
  • Second Meter Read, or print volume collection
    We suggest a further meter capture, a minimum of four weeks from the initial reading.
  • Multiply site locations
    If there are branch offices involved we normally suggest to audit head office and 1-3 branch offices as experience tells
    us this will provide a reasonable accurate view of your business document output environment.
  • Findings
    We collate and summarise the data using industry standard tools, offering insight into the true costs associated with your document output fleet.

Step 2: Analyse, Design and Recommend

The aim of this audit is to offer the best possible optimised fleet - the most suitable type, number and appropriately configured and deployed devices to meet requirements.

We provide you with an impartial view of your existing output environment and document what is working and what
may be improved.

This stage within the process will identify the unique balance between user productivity, wastage and enterprise expenditure.

Our experience suggests the below are key to your optimal design:

  • How many printers, copiers, MFPs do you have versus staff count?
  • Are these devices being properly utilised? Too much? Too little?
  • How often are they in need of service?
  • How often are the printers out of toner?
  • How old are they?
  • What is your current meter read submission process?
  • How much time does it take?
  • How much IT time is spent supporting printing devices?

We will formalise the recommendations and offer a “best in class” solution. We work with your IT staff, supply chain managers and key stakeholders to ensure we design the correct number, type and appropriately configured output devices that are deployed efficiently across your organisation, which ensures the highest possible return on investment to your enterprise.

Step 3: Deploy, Educate and Train

Minimised change management and overall project costs are only part of a successful implementation. We work with you to create, and adhere to, a strict plan and time line to ensure a minimal impact transition to the new solution.

The efficient deployment of your tailored solution will ensure little or no impact on your organisation and its users.

We have the ability to educate all staff on the capabilities of any new devices, achieving higher user productivity through the use of smarter, workgroup configured devices.

Implementation services we can offer are:

  • Installation and configuration of the latest version of OEM sponsored and third party software as determined by your network and infrastructure requirements.
  • Appointment of project manager who works with your team to schedule the integration and testing phase.
  • Configuration and Installation of hardware requirements.
  • Individual, workgroup or departmental user training.
  • Remote tracking and fulfilment solution of all toner based consumables.
  • Preventative maintenance scheduling.
  • Removal and/or redeployment of old equipment.

Step 4: Continuous Support and Reporting

As a true business partner, we will continue to work with you after implementation, to refine and constantly test the solution still meets and exceeds your imaging environment requirements.

Core Technology Partners provide you with true live “visibility” of all networked print devices and offer ongoing suggestions of over and under-utilised devices, and if the solution incorporates any of your existing fleet, highlight devices that constantly require maintenance or break fix services.

Scheduled meetings to discuss a range of detail on the implemented fleet, ensures the fleet will always align with your organisations imaging requirements, regardless of future change such as mergers, acquisitions or downsizing.

Core Technology Partners continue to provide you with a variety of reports, some of which include:

  • Meter reads and page counts by device, grouped departments or the entire fleet.
  • Mono vs. Colour usage.
  • Device Status, description and location.
  • Device Utilisation and printing trends.
  • Device maintenance history.
  • These reports can be generated on a daily, weekly or monthly basis, or be scheduled to run automatically at a pre determined time, and delivered as CSV files to your inbox.
